E-Service System (EPS®)
There are number of systems able to handle internal and external data and information flow. Those systems are able to minimize paper use in business processes. However traditional systems cannot eliminate the use of paper completely. The idea of paperless office becomes more interesting to companies and institutions as reduction of cost is more and more crucial.
EPS
E-Service System developed by Datu Sistēmas is based on digital signature and digitally signed documents and related processes. EPS allows implementing and using e-services easily and effectively by providing centralized process management and effective management of incoming and out coming document flow. Archiving of documents is also possible as well as processes involving State archive is supported. Main modules of the EPS are:
e-Authorisation
e-Authorisation is one of the modules of the EPS. It makes possible initial registration of users and following authentication of them using digital signature. Using module of e-Authorisation is possible to provide to each customer services it needs and has rights to access according to the description of e-service provided.
Most common e-services e-Authorisation is used for:
Online registration of the customer and provision of cervices according to its needs and rights;
Management of access rights to the information resources (data bases).
For e-Authorisation to be used, user must first open e-Authorisation account for the system to be used. It is done in four steps:
Step 1
Application for e-Authorisation account has to be done on service providers Internet page:
Online application form is filled and sent to the service provider by using Internet browser,
Service provider checks received application:
If application is correct, service provider sends unique Web link for e-Authorisation to the e-mail provided by customer,
If information received is not correct service provider informs customer about reason to deny the access to the service.
Step 2
User has to open unique Web link received via e-mail in Internet browser and install e-Authorisation client component:
When unique Web link is activated in to the web browser it is offered to install e-Authorisation client component. It is small add-in for internet browser (Microsoft Explorer, Mozilla Firefox). There is no need to install and use any other software or resident program to the system.
Step 3
User then must register certificate of his digital signature:
After installing of e-Authorisation component for the web browser user must register certificate of his digital signature. It has to be done only once. This way users certificate of digital signature is attached to e-Authorisation account.
Step 4
Access to the e-Authorisation account using digital signature and using of e-services:
Access to the account using digital signature with various user rights:
As administrator (user is able to manage account);
As user (limited rights limited by one account – to sign, to verify, to encrypt, to decrypt).
e-Forms
e-Forms is one of the modules of EPS. It allows to digitally sign web pages and attachments to them. Using e-Form templates it is possible provide e-services customer needs. Most common use of e-Forms are:
e-shopping,
e-applications,
user registering and authoring.
Functionality offered by e-Forms is possible to adopt for various e-services. Templates of Web forms are available. Ready to use web form is possible fill in and immediately sign by digital signature. Thus e-service is easily accessible via web browser. There is no need for any kind of application to be installed on the system.
For signing and checking of the web page by e-Forms two components are used:
e-Forms client component – makes possible to digitally sign and submit HTML internet pages, including attachments. All operations are done at customer’s site. e-Forms client component is small piece of software and it automatically loads to the PC’s with Windows operating system. For UNIX/LINUX systems small script is to be run;
e-Forms server component – when digitally signed data are received form customers PC, server component automatically verifies received data before they are accepted in the system. Customer receives verification statuses for data sent. All verification is taking place on the server. Server provides verification of validity, trustworthiness of digitally signed data and validity of certificate used for the transaction.
e-Archive
e-Archive is system which allows to archive e-documents and later transfer to the State archive. Correct archiving and management of e-documents in the archive is especially crucial to the state institutions.
Some paper documents have to be stored for a long time because there may be need for them in the future. The same situation is with e-documents – in case they are needed documents have to be easy to access. At the same time storage has to be secure and classified and with ability to verify every documents validity at any time. All state institutions are obliged to securely store e-documents for predetermined term. And some of the documents have to be transferred to the State archive for long term or permanent storage. Using traditional document management systems it is expensive to make that system to apply to all requirements. And managing digital archive of e-documents eventually is cheaper than maintaining traditional paper document archive.
